Privacy policy

This policy explains how ARINCS collects, uses, discloses, retains, and protects personal information obtained through its website, forms, and electronic communications.

1. Business and privacy officer

ARINCS is operated by Omer Arinc in Montréal, Québec, Canada. Omer Arinc is the person responsible for the protection of personal information. Questions and requests may be sent to info@arincs.ca.

2. Information collected

ARINCS may collect contact details, organization, language combination, requested service, document type or meeting context, requested date, message content, and other information needed to assess or perform an assignment. Technical data necessary for operation and security, such as IP address, browser type, and server logs, may also be generated.

3. Collection methods

Information is collected when you complete a form, contact ARINCS, request a quote, transmit a document through a secure link, or enter into an assignment. At launch, ARINCS does not deploy advertising cookies or non-essential behavioural analytics.

4. Purposes

Information is used to respond to requests, assess feasibility and availability, prepare a quote, perform and deliver the assignment, communicate with the client, invoice, comply with professional, tax, and legal obligations, prevent fraud, and secure the services.

5. Consent and necessity

Collection is limited to information needed for the stated purposes. Where consent is required, it is requested separately and may be withdrawn, subject to legal or contractual obligations and resulting consequences.

6. Service providers and disclosure

Technical providers may process information for hosting, form management, email, secure upload, invoicing, or payment. They must use it only to provide the agreed service. Information may also be disclosed where required by law, court order, or professional obligation.

7. Processing outside Québec

Some providers, including Netlify, may process or store information outside Québec or Canada. The information may then be subject to the laws of the relevant jurisdiction. Such transfers are subject to a privacy impact assessment and contractual safeguards as required by applicable law.

8. Confidential documents

The general contact form should not be used to transmit sensitive documents. When a document is required for assessment, ARINCS may provide a separate secure upload link. The client should provide only necessary copies and information and ensure that they are authorized to disclose them.

9. Retention and destruction

Information is retained only as long as necessary for the stated purposes and applicable legal, tax, contractual, or professional obligations. It is then securely destroyed or anonymized where permitted. Unaccepted requests and form submissions are periodically deleted when no longer needed.

10. Security measures

ARINCS applies reasonable measures appropriate to the sensitivity of the information, including access controls, multi-factor authentication where available, HTTPS, password management, backups, and secure destruction. No system can eliminate all risk.

11. Rights

Subject to applicable law, you may request access, correction, withdrawal of consent, or information about use and retention. Requests may be sent to info@arincs.ca. You may also contact the Commission d’accès à l’information du Québec.

12. Privacy incidents

ARINCS maintains a privacy-incident process. Where an incident presents a risk of serious injury, affected individuals and the Commission d’accès à l’information are notified as required by law.

13. External links and changes

The site may link to third parties, including OTTIAQ. Their practices are governed by their own policies. Material changes to this policy will be posted on this page with an updated date.
